  1. How do I get an access to online AIMS?
    1. Request an account by sending email to mailto:aims-support@srcm.org with your Mission details (name, abhyasi ID, centre), email address, and type of access wanted (Nodal Coordinator/Data Entry). Login details are in Login.
  2. How do I get email help with online AIMS?
    1. Send queries by email to aims-support@srcm.org
  3. How do I report a bug/issue?
    1. Request a Jira account by sending email to mailto:aims-support@srcm.org.
    2. Details of how to login to the Jira server will be covered in the email you get once your account is set up.

  4. How do I request a new feature?
    1. Create a new Jira issue with clear details of the new feature, and why it is needed
  5. How does an NC (Nodal Coordinator) issue temporary/introductory abhyasi ID cards?
    1. Continue the current introductory/temporary ID card physical issue process.
    2. Collect abhyasi details in the Abhyasi Information Form (AIF) and required documents.
    3. Do NOT enter AIF data into the PC AIMS (MS Access)
    4. Instead enter AIF data into online AIMS by logging in as in Login and entering data as in Data Entry - Add
  6. How does an NC apply for a permanent abhyasi ID card?
    1. Continue the current process for getting payment, AIF, photo, etc.
    2. Verify the abhyasi details using Data Entry - Edit and update the photo if needed.
    3. Apply for a new card using Card Request - New
    4. Assign the card request to the next batch using Card Request Batch - New
    5. Submit the batch giving details of bank transfer/DD, etc. as in Card Request Batch - Edit
    6. Follow-up to clarify/correct any queries raised by HQ immediately on receipt
  7. How can I do <something> not allowed due to permission errors?
    1. Create a Help Desk request as in HelpDesk - New Request
    2. Give as much detail as possible regarding the problem and what actions have been tried so far to do <something>
    3. If this appears to be a bug in Online AIMS, please search Jira HERE to see if it has been reported already. If not, please create a new Jira issue, again giving as much detail as possible.
    4. If there is no action taken on your Help Desk request within a reasonable time (max. 1 week), escalate the issue by sending email to mailto:aims-support@srcm.org with details of the Help Desk request.
  8. What are examples of <something> not allowed?
    1. Adding a new satellite centre
    2. Adding a new/unknown preceptor
  9. I get errors using Internet Explorer (IE) browser
    1. Recommended browsers are Firefox or Chrome - both are freely available.
  10. Buttons don't work - New, Edit, Duplicate, etc.
    1. Online AIMS uses screens/pages provided by OpenERP and customises OpenERP pages/elements on pages to suit AIMS functions.
    2. Some of the default buttons are not useful or needed in the context of OAIMS and should be removed or hidden.
    3. The time/effort to do so is a lower priority than the time/effort needed to get basic AIMS functionality in place.
    4. The next major version of OpenERP is supposed to make it easier to override/customise.
    5. Bottomline, please follow the steps described in the wiki and file issue/bug reports if buttons mentioned in the wiki pages don't work.
    6. Please ignore the other buttons till at least 2 releases of OAIMS are over :) After that, please feel free to file bug reports regarding such buttons.
  11. How does an NC find a record belonging to a different centre?
    1. Use the nifty Abhyasi Maintenance->Global Search described in Search - Global Search
  12. How does an NC transfer the record of an abhyasi from a different nodal centre?
    1. Find out the name of the old nodal centre using Global Search.
    2. Next, file a help desk request as in HelpDesk - New Request to create a request to transfer the record.
    3. Please enter the abhyasi ID and destination centre in the Query field of the help desk request.
    4. Once the record is transferred, edit it and create a new Address record for the new centre of type Default.
    5. Change the previous default record to type: Residence.
  13. How should an NC handle an AIF of an abhyasi who was issued an ID card from another centre
    1. Transfer the record to the new nodal centre as in the previous question.
    2. Process the AIF as usual.
  14. How should an NC handle an expired temporary/introductory ID card?
    1. Based on an AIF signed by the preceptor giving sittings to the abhyasi, issue a new temp ID card.
    2. Create a new card request of type Temporary.
      1. Enter new card details, and update the ID number field with the new temp ID card number.
      2. The card request will be approved automatically.
  15. Why is an abhyasi record left in Submitted state?
    1. If there is another abhyasi record with the same name, date of birth, first sitting date, centre, etc. which matches this record, it is left in Submitted state until approved or rejected manually by an HQ user.
  16. How do I locate matching records for an abhyasi?
    1. Click on the 'Find Possible Duplicate' link (in Links section, on the right) in both Search view and Details (Form) view
  17. What should be done about a rejected record?
    1. Possible situations:
      1. Record is duplicate of an existing record - delete this record and enter new details in existing record
      2. Wrong data entry (card no. changed) - update ALL details in correct record and re-enter details for this record
      3. Rejection wrong - send email to aims-support@srcm.org or raise a help desk request with details
  18. Why is the print name field read-only?
    1. The abhyasi print name should match the printed name on the physical card. So the name can now be changed only when a physical card is issued.
  19. How does an NC change the abhyasi print name?
    1. Create a new Card Request
    2. Enter the new name in Name on Card Line 1
      1. If it's too long, enter remainder in Line 2
    3. Submit the CR (save+batch assign+batch submit) - print name is changed while processing the request
